Rental Terms & Conditions

The agreement between Goodlees and the named renter, covering booking, collection, use and return of hired camera equipment.

1. Booking and payment

These terms apply when you hire equipment from Goodlees. “Equipment” means every item shown in your booking confirmation, including accessories. “You” means the named renter.

A request is not a confirmed booking until Goodlees sends confirmation and receives the required payment. Please check the equipment, dates, times, price and collection arrangements before paying. Tell us promptly if anything is wrong.

The full rental price is payable at checkout. Goodlees does not currently take a security deposit or pre-authorisation. We accept the payment methods offered at checkout. Our payment provider may carry out fraud or security checks. A later, valid charge for damage, loss or late return is assessed separately under these terms; payment of the rental price does not cover it.

2. Eligibility and verification

You must be at least 18 and legally able to enter into this agreement. You must provide a current photographic ID and proof of address and complete the requested identity verification before collection. We send a secure Stripe Identity verification link after booking; it asks for an ID document and a matching live selfie. Proof of address may be requested separately. Completion of the link is not by itself approval for handover: Goodlees reviews the result. The booking details must be accurate and the payment method must be used with permission.

The person named on the booking is responsible for the equipment. Another person may use it only with your permission and under your supervision; your responsibility continues. The equipment must not be sub-hired, sold, pledged or passed to another person as security.

We may refuse or cancel a booking if verification cannot be completed, information appears false, payment is unauthorised, or there is a genuine safety, fraud or availability concern. Any refund will follow the circumstances and your statutory rights.

3. Collection, delivery and return

Collection and return details will be agreed in your confirmation. Bring the identification requested. If somebody else is authorised to collect, Goodlees must approve this in advance and may request their ID.

Please inspect the equipment at handover. Goodlees may photograph or video its condition and serial numbers. Tell us immediately about visible damage, missing items or faults; if you accept the equipment without raising an issue that was reasonably apparent, the handover record may be used as evidence of its condition.

You remain responsible until the complete equipment is handed back as agreed and Goodlees confirms receipt. Return it by the stated deadline, reasonably clean, securely packed and with every listed accessory.

Delivery

If delivery is agreed, you must provide an accurate accessible address and ensure an authorised adult is present during the stated window. Reasonable redelivery or failed-delivery costs may be charged where caused by an incorrect address or nobody being available, provided the cost was disclosed or reflects the actual loss.

4. Care and permitted use

Use the equipment carefully, for its intended purpose and in line with any instructions. Keep it secure, dry and protected from impact, extreme heat, sand, liquids and unattended public access.

You must not dismantle, repair, modify or remove labels or serial numbers. Do not use the equipment unlawfully or in conditions beyond its specifications. Contact Goodlees before attempting any repair.

Normal wear from careful use is accepted. You are responsible for damage caused during your rental beyond normal wear, subject to the Damage & Loss Policy and applicable law.

Personal belongings and content

Remove your files and belongings before return. You are responsible for backing up your content. We will take reasonable care but cannot promise to recover files left on memory cards or belongings left in cases. We may securely erase returned memory cards during preparation for the next hire.

5. Extensions and late return

An extension is valid only when Goodlees approves it before the original return deadline and confirms any additional price. Continuing to hold the equipment without approval is not an extension.

Contact us as soon as a delay becomes likely. A late fee of £15 per day of delay may apply after the agreed return deadline. We will explain any charge and consider the circumstances, any extension agreed in advance and our actual loss. We will not charge twice for the same loss or impose a disproportionate penalty. Any separate direct loss caused to a following booking must be reasonable and evidenced.

Persistent failure to respond or return the equipment may be treated as non-return under the Damage & Loss Policy.

6. Faults and changes by Goodlees

If equipment develops a fault not caused by you, stop using it where continued use could worsen the problem and contact us promptly. Do not attempt repairs. Depending on the circumstances, we may provide a replacement, arrange a repair, offer a proportionate refund or credit, or end the hire and refund the unused period.

If equipment becomes unavailable before collection because of damage, late return or another event outside our reasonable control, we will contact you promptly and offer a suitable replacement where possible, rescheduling, account credit or a refund. You may reject a materially different replacement and receive a refund for the affected booking.

7. Responsibility and liability

Nothing in these terms excludes or limits liability where the law does not allow it, including liability for death or personal injury caused by negligence, fraud, or your statutory rights relating to goods and services.

Goodlees is responsible for foreseeable loss caused by our breach of contract or failure to use reasonable care and skill. We are not responsible for loss that was not reasonably foreseeable when the contract was made, or business loss where you hire as a consumer.

You are responsible for reasonable, evidenced loss caused by your breach, negligence or deliberate act. We will take reasonable steps to limit loss and will not impose disproportionate penalties.

8. Complaints, disputes and governing law

Please contact goodleesuk@gmail.com with your booking number and a clear description of the issue. We will acknowledge the complaint and aim to provide a substantive response within 14 days.

If you dispute a charge, contact us first so we can investigate. Where a payment dispute or chargeback is raised, we may provide the payment provider with relevant booking records, messages, verification outcomes, condition photographs and collection or return records, in accordance with our Privacy Policy.

These terms are governed by the law of England and Wales. If you live elsewhere in the UK, you retain any right to bring proceedings in your home courts and any mandatory protections that apply to you. Nothing here affects your statutory rights.
